Key Points:
- Only trust messages with the green Verified indicator
- Contact IT Support before acting on any unverified messages
Authenticated Messages You Can Trust:
- Internal Senders
- Look for "Internal Sender" verification
- Any message claiming to be internal without this indicator is fraudulent
- Appears consistently in both Outlook and Notes
- Verified Brand Senders
- Official brand logos appear for authenticated corporate senders
- If a company name appears without their verified logo, treat as suspicious
- Consistent display across both email platforms
- Known External Contacts
- These are contacts in your address book or previous correspondents
- Trust level should match your existing relationship with the sender
- Authentication status visible in both mail clients
Exercise Caution:
- New External Senders
- Valid but unfamiliar senders require additional verification
- May be legitimate new contacts or potential impersonators
- Verify through alternative channels before taking action
- Unverified External Messages
- Messages with yellow "Unverified" indicators require caution
- Do not:
- Share sensitive information
- Transfer funds
- Use alternate contact methods
- Click unexpected links or attachments
High Risk - Take No Action:
- Suspected Forgeries
- Messages with forged sender information
- Always consult IT Support before any interaction
- Never click links or download attachments
- Do not reply or forward these messages
Authentication Status:
- The green Verified indicator appears consistently in both Microsoft 365 and Notes
- Brand logos display for authenticated corporate senders
- Security status is immediately visible when opening messages
